Close Rate and Pipeline Calculator

Enter your leads, quotes sent, jobs won and average job value for any period. Get your lead-to-quote rate, quote close rate, overall close rate, revenue per lead, how many leads and quotes you need to hit a revenue target, and what a few more points of close rate could be worth. Everything runs in your browser: no signup, nothing stored or sent.

Count only real inquiries (no spam, vendors or job seekers). "Won" means signed or deposit paid. Use the same period for every box; 90 days smooths out lumpy months.

These are estimates. The calculator assumes your rates and average job value stay the same as you add leads or quotes, which is rarely exactly true. Treat the targets and "what if" numbers as a rough guide for planning, not a forecast or a promise.

The three rates, and why you need all of them

Looking at one rate on its own hides where the leak is. Two businesses can both close 10% of leads, one because few leads get a quote and the other because few quotes get accepted. The fixes are completely different. The full walkthrough with examples is in how to calculate close rate.

Reading the target numbers

The target section works backwards: revenue target ÷ average job = jobs needed, jobs ÷ quote close rate = quotes needed, quotes ÷ lead-to-quote rate = leads needed. It is usually a wake-up call. If you need twice the leads to hit the target, raising one rate by a few points is often cheaper than buying more leads, which is what the "what if" lines show.

Cheap ways to move the rates

  1. Reply faster. Same-day first replies help lead-to-quote rate more than anything. The lead response time calculator gives a rough sense of what slow replies cost.
  2. Ask one or two qualifying questions before quoting. See lead qualification questions.
  3. Follow up on every open quote. Most quiet quotes are undecided, not lost. Read how to email a quote and how to follow up on a quote, or build a dated plan with the follow-up schedule generator.
  4. Check it every week. Put close rate next to leads, revenue and unpaid invoices with the free weekly business report generator or the weekly sales report template.

Have the counting done for you

Counting leads, quotes and wins by hand is the first habit to slip in a busy month. The Weekly CEO Report Kit for n8n counts them from your lead sheet and Gmail in code, writes a one-page report and saves it as a Gmail draft to you every Monday at 7 AM. The Solo Ops Command Center bundle adds the inbox and speed-to-lead kits, which work on the rates themselves, plus a dashboard sheet that charts them week over week.
