AI Email Reply Prompt Generator
Got an email you need to answer? Pick the type, paste or summarize it, add your facts and the things the AI must not promise. You get a ready-to-paste prompt for ChatGPT, Claude or Gemini that writes a safe draft in your tone. Everything runs in your browser: no signup, nothing stored or sent.
Draft, not send. Paste the prompt into your AI tool, then read the draft, fill every [CONFIRM] placeholder and edit it before it goes out under your name.
Why this prompt works
Most bad AI emails come from vague prompts. "Reply to this" leaves the model to guess your prices, your policies and how much you are willing to give away, and it guesses confidently. This generator builds a prompt with four parts that fix that:
- The email, fenced off as data. Anyone can send you an email written to manipulate an AI. Marking it as data and telling the model to ignore instructions inside it is a simple defense against prompt injection in email.
- Your decision. The AI writes the words. You decide the answer: yes, no, which day, how much.
- Your facts, and only your facts. Prices, dates and policies come from you. Anything missing becomes a visible [CONFIRM] placeholder you cannot miss.
- A no-promise list. Refunds, discounts, free work and admissions of fault are where AI email goes most wrong. The prompt rules them out unless you say otherwise.
Tips for better drafts
- Write your decision first. One line like "yes, Thursday, same price" turns a generic reply into the right one.
- Show your voice. Paste two or three real replies you liked into the chat before the prompt and say "write like these".
- Let it ask. Keep "ask me first" on for complaints, refunds and quotes. A question costs ten seconds; a wrong promise costs a customer.
- Never let it send. Read every draft. Check names, numbers and anything that sounds like a commitment.

Skip the copy and paste
This works well for a few tricky emails a day. Past that, copying emails into a chat window gets old fast. The Inbox Chief of Staff Kit for n8n reads new Gmail as it arrives, sorts it, and saves a reply draft in your voice right in the thread, with the same rules built in: email is data, facts only, [CONFIRM] placeholders, and fraud tripwires for bank details and gift cards. You open Drafts, check it and press send. Nothing goes out without you.
Inbox Chief of Staff Kit
